Create an evidence tracker
Use one row per requested item with columns for the official requirement, file name, issuing organisation, relevant date and status. Useful statuses include missing, requested, received and checked. Link each row to its source so you can revisit an instruction when something changes. Keep the tracker free of unnecessary sensitive information if you share it with someone helping you.
Group files by what they establish
Depending on the route, your evidence may relate to identity, the purpose of travel, work or education, finances, or family circumstances. Use only the categories relevant to the official checklist. Do not assume that a document needed by another applicant is required for you, or that providing more unrelated documents will improve the application.
Check quality and consistency
Confirm that scans are legible and complete, including relevant reverse sides and pages. Follow the portal's file-size and format rules. Compare names and dates across documents and forms. Where records differ, check what explanation or correction the authority accepts. Keep originals and working copies separate so that editing a draft does not overwrite evidence.
Track translations and validity
Consult the official instructions for accepted languages, translation standards and any certification. Record applicable validity periods and appointment dates in the tracker. Do not order a translation or certification simply because a general online checklist mentions one; first establish whether your route requires it and what standard is accepted.
Run a final submission review
Review the file against the latest official checklist, not just your first saved version. Confirm that drafts contain no placeholders, statements are accurate, forms are complete and the submission method is correct. Save a dated copy of the final package and receipts securely.
